Introducing DAY OF MANAGEMENT, the holy grail of weddings. Not to be confused with the run-of-the-mill “day-of coordinators” who swoop in for one day and take over – Oh no!


You'll work with us, about 3 months before, to really get to know you and understand what will make your wedding a night to remember.


All of your wedding day details will be handled, both the big moments and small personal touches of your day. 


You have many pieces of your wedding day puzzle to put all together into one complete picture.  Your “what am I forgetting about” fears will be soothed away knowing that HBIC Weddings make sure you’re all set for the big day! 


Oh, and on the big day, you're covered!  You'll be amazed how much you'll simply enjoy your day and take it all in.


You’ll have not one but two staff kicking butt and taking names, to ensure that you and your guests are having the time of your lives!

Your wedding guests will enjoy the celebration as they witness one of the most important days of your life. You can also help you put a smile on a stranger’s face, as social responsibility is created by your event; here’s how: 


  • In your name will be a donation made to both the World Central Kitchen and Lurie Children’s Hospital.

  • With your pre-wedding approval, the wedding florals can be delivered and repurpose to a local hospice or physical rehabilitation center.​

Create Wedding Day Timeline

Know that we L.O.V.E. timelines, they are our jams! We also make individual vendor-specific production schedules, which are provided in a week in advance, so everyone’s clear about what’s happening, when. Your band needs a completely timed “run of show,” while the bakery mostly needs delivery details.

Conduct 1:1 Final Vendor Review Calls

We’ll contact each of your vendors one week before the wedding to make sure all final details are mapped out and understood. We know that they know what they need to know, ya know! From their arrival to retrieval, everyone's got the plan of the day!

Contract Review & Value Increase

We can’t promise we’ll score you the deal of a lifetime, but we can guarantee you’ll get a comprehensive agreement and a fair price. And we’re not afraid to ask for a bit more value from any vendors on your behalf.


We don’t punch a clock for our couples, our fees are retainer-based and never change from what’s outlined in your original agreement. Although we plan our schedules in advance to avoid burnout, we’ll hold your hand through the entire process to make sure you have wedding planning confidence. We make ourselves available, whether it's in-person or virtually, over a call, or via email.

Guest Seating Software

You will be able to access your guest list seating plan 100% online and set the table location with ease.

2D & 3D Floorplans

Our online software creates floor plans that are drawn in scale and set in the fully developed details of your venue for realistic planning of the configuration of your reception. The floor plans can be viewed as a line regular drawing or a 3D version (its VERY cool to see the ballroom from where you or your guests will be seated).

1 Vendor Guide & FAQ

We’ll create a vendor-specific checklist, so you’ll be prepared and ask the right questions when searching for your team of wedding vendors.

Final Venue Walkthrough

About a week or so before the wedding, we’ll meet with the key vendors at your venue to review the planned details, placement, & timing.

Create Vendor-Specific Timelines

Each & every vendor will receive a timeline drafted specifically for them. From arrival/retrieval times, contracted elements, and both theirs & our contact info; the vendors will receive a clear plan for the day and clearly knows our expectations.


All Day Vendor Management

We’ll maintain communication with all your vendors, so everyone is on the same beautiful page together.

Timeline Management

On paper, it's perfect that timeline should be framed! However, we’re aware that sometimes things don’t go perfectly on time. We’ll monitor and keep notes on your timeline throughout the wedding to make sure we stay on track and avoid any significant problems.

Distribute Final Payments

Some vendors will have a balance due on your wedding day. Instead of carrying checks around all night, you can hand them to our team, and we’ll handle all final payments.

Oversee Cards & Gifts

We don’t think your family should be responsible for moving those items to a safe place, so we’ll take care of that as you direct us to.

Ceremony Setup

We’ll make sure the chairs are lined up, and the aisle is clear. Any other details that need to be handled (signage, reserved seating, direction to other vendors) will be taken care of by our team.

2 On-Site Staff

Why two? Well, because sometimes your guests will need assistance with something, and we want to be sure someone is always available to take care of you!

Vendor Arrival & Setup

We’ll greet your vendors, assist with load-in, and make sure they have everything they need for a successful wedding experience for you and your guests.

Handout Gratuities

Our motto is “never expected, but always appreciated” we’ll share best practices, and take care of distributing them so you can focus on celebrating. If your vendors went above and beyond, you might want to offer a gratuity.

Wedding Emergency Kit

It’s an awesome collection of anything that may be needed during the day, the kit includes phone chargers to bandaids and various tapes, Tide sticks, breath mints, and so much more can be found in this go-to kit.

Wedding Party Guidance

We’ll guide and direct your wedding party on the day of your wedding to make sure everyone is where they need to be. We’re there to handle any pop-up needs, find a rouge groomsman, and take on any last-minute requests.

Run the Show

From entering the reception, speeches and toasts and other key moments of the night, we’re here to make sure that everything runs smoothly until the dance floor is full.

Reception Setup

From escort cards to the cake table and wedding favors, we’ll make sure your reception spaces are setup properly for your guests’ arrival.

Virtual/Live Stream Ceremony-Optional Service

This customized service is available to you so that your limited celebration can be shared with those you wish could attend. We just need to talk about your details and work on a quote for this add on service.

HBIC Wedding Day Timing

Generally...we will arrive just before the Photographer while you're getting ready. We depart once the dance floor is filled & the rest of the reception is on "autopilot." We'll touch base to say goodbye.


After The Wedding Recap

Once the dust has settled, there will most likely be some lost and found items or remaining details – we’ll schedule a convenient time to go over everything and recap the wedding.

Real Wedding Submissions

If you think you’d like to share the love after the wedding is over, we’ll work with your photographer to submit your wedding photos to local and national blogs. Please note: The decision to publish a wedding is entirely up to the publications, and we cannot guarantee results.
